HR pros increasingly aware of document management pain points

Many human resources professionals have likely noticed an ever-increasing amount of paperwork associated with their jobs, leading to stuffed file cabinets and problems tracking down and processing necessary documentation.

The good news for HR pros who have ever-growing inboxes is that document management software coupled with robotic process automation can go a long way toward helping them manage their workload, according to the HR and benefits firm Bayzat. With so many needs arising – from managing leave and work-from-home requests to finding ways to sort through hundreds of applications for nearly any job opening – it's vital that HR workers have the tools available to operate efficiently.

Pain points to consider
The fact is that many in HR still manage files manually, and often from within spreadsheet software like Microsoft Excel, which can be clunky and time-consuming to manage, the report said. These offerings don't provide some of the amenities modern document management software does, including the ability to use workflows to automatically ferry information when it needs to go instantly.

By adopting such software, HR pros may be able to free up as much as half of their work weeks and devote that time to other activities that need their attention.

Vital for startups
Meanwhile, because many companies have relatively small employee bases and are rapidly scaling up, many of the processes their HR professionals may feel they can handle manually can quickly become overwhelming, according to a TechPoint interview with Erika Maita, an HR business consultant at TriNet. Another common issue at such companies is that HR employees can also end up splitting their duties with executives who would otherwise be dealing with more pressing matters.

"On average, executives spend more than 25% of their time performing administrative HR tasks," Maita said. "[They tackle] tasks such as onboarding a new employee, administering new hire orientation, filing payroll taxes, or reviewing employee business expenses."

To that end, adoption of proper document management services and robotic process automation will be vital for everyone at smaller businesses in particular, from entry-level employees to founders, because it makes everyone's job just a little bit easier to complete.
